Terms of Service

Last updated October 21, 2026

These terms are an agreement between you and Clarvoy (“Clarvoy,” “we,” “us”) for the use of getclarvoy.com and the Clarvoy service. By creating an account, submitting information as a vendor, or otherwise using Clarvoy, you agree to these terms. If you use Clarvoy for a company, you confirm you're authorized to accept these terms for it, and “you” includes that company.

1. What Clarvoy is

Clarvoy helps facilities and procurement teams (“Customers”) receive, organize, qualify and contract with service vendors (“Vendors”), and helps Vendors present themselves to Customers. Features include vendor intake and email sorting, automatic replies, review windows, vendor checks and risk notes, RFPs and quotes, contract sign-offs, rate comparisons, analytics, and optional work orders.

2. Accounts

  • Customer accounts must be created with a work email address you control. Keep sign-in links and access to your email secure; you're responsible for activity under your account.
  • Account admins control who on their team has access and what role they have.
  • Vendors access Clarvoy through sign-in links sent to their email. Vendors must provide accurate information about their company.
  • You must be at least 18 and able to form a binding contract.

3. Plans, trials and payment

  • The free plan includes the features listed on our pricing page. Paid add-ons are billed monthly in advance through our payment processor (Stripe) and renew automatically until cancelled.
  • New Customer accounts may receive a free trial of add-ons. When it ends, add-ons you haven't purchased switch off; your data is kept.
  • You can cancel at any time from Plan & billing. Cancellation takes effect at the end of the current billing period. Fees already paid aren't refunded except where required by law.
  • We may change prices or plan contents with at least 30 days' notice. Changes apply from your next billing period.
  • Prices don't include taxes; you're responsible for any that apply.
  • Vendors are never charged to be considered, found or qualified.

4. Your data

  • You own your data. “Customer Data” is everything a Customer or its users put into Clarvoy, including vendor emails forwarded to us, notes, contracts, rates, spend files and work orders. “Vendor Data” is what a Vendor submits, including company details, documents and answers.
  • You give us permission to host, process and display your data only as needed to provide, secure and improve Clarvoy, as described in our Privacy Policy.
  • Information a Vendor submits to a Customer is shared with that Customer. Documents a Vendor marks as shared (such as a W-9) may be shown to other Customers the Vendor submits to. Vendors who choose to be listed in vendor search are visible to all Customers.
  • Customer notes, ratings, risk notes and contract values are private to that Customer and are never shown to Vendors.
  • We may use aggregated, de-identified data (data that doesn't identify you, your company or any person) to operate and improve Clarvoy and to produce benchmarks. We won't sell your data.
  • You're responsible for having the right to upload what you upload, including any personal information in forwarded emails and files.

5. Vendor checks, risk notes and automated features

  • Vendor checks, qualification levels, risk notes, certificate readings, coverage estimates and similar features are based on public records, third-party data, information Vendors provide, and automated processing (including AI). They may be incomplete, out of date, or match the wrong company with a similar name.
  • They are prompts for your own review — not a determination about any company or person, and not a recommendation to hire or not hire anyone. Customers make their own decisions and should verify anything important.
  • Clarvoy is not a consumer reporting agency. You may not use Clarvoy to make decisions about an individual's eligibility for employment, credit, insurance, housing or any other purpose covered by the Fair Credit Reporting Act or similar laws.
  • Automatic replies to vendors, email sorting and document reading are performed by software and may occasionally be wrong. You can review and change them.

6. Acceptable use

You agree not to:

  • break the law, infringe anyone's rights, or upload content you don't have the right to share;
  • submit false information, impersonate a company or person, or upload forged documents (including insurance certificates);
  • send spam or bulk marketing through Clarvoy, or scrape, copy or resell Clarvoy data;
  • try to access accounts or data that aren't yours, probe or disrupt the service, or get around usage limits or security; or
  • use Clarvoy to harass, discriminate against, or target anyone.

We may suspend or remove accounts or content that violate these terms.

7. Third-party services

Clarvoy relies on other providers, such as hosting, email delivery, payment processing, maps and reviews, and public data sources. Their services are governed by their own terms, and we're not responsible for their content or availability. Google reviews are shown as provided by Google.

8. Our property

Clarvoy, including its software, design and content (other than your data), belongs to us and our licensors. We give you a limited, non-exclusive, non-transferable right to use it under these terms. If you send us feedback, we may use it without obligation to you.

9. Confidentiality and security

We protect your data with reasonable administrative, technical and physical safeguards, including encryption in transit, private file storage with short-lived links, role-based access and audit logs. No system is perfectly secure; we'll notify affected Customers of a security incident involving their data as required by law.

10. Ending your account

  • You can stop using Clarvoy at any time. Admins can ask us to delete their company's account and data by emailing danielle@getclarvoy.com.
  • We may end or suspend access for violation of these terms, non-payment, or if required by law. Where reasonable, we'll give notice and a chance to export your data.
  • After an account is closed, we delete or de-identify its data within 90 days, except what we must keep for legal, tax or security reasons, and backups that expire on their normal schedule.

11. Disclaimers

Clarvoy is provided “as is” and “as available.” To the fullest extent allowed by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose and non-infringement. We don't guarantee that Clarvoy will be uninterrupted or error-free, or that any vendor information, check or analysis is accurate or complete.

12. Limitation of liability

To the fullest extent allowed by law, neither party will be liable for indirect, incidental, special, consequential or punitive damages, or lost profits, revenue or data, even if advised they were possible. Our total liability for any claim relating to Clarvoy is limited to the amount you paid us in the 12 months before the claim (or $100 if you haven't paid us anything). Some places don't allow these limits, so they may not fully apply to you.

13. Indemnity

You'll defend and indemnify Clarvoy against third-party claims arising from your data, your use of Clarvoy in violation of these terms or the law, or your decisions about vendors.

14. Changes to these terms

We may update these terms. If a change is material, we'll notify account admins by email or in Clarvoy at least 30 days before it takes effect. Continuing to use Clarvoy after that means you accept the new terms.

15. General

  • These terms are governed by the laws of the State of Ohio, without regard to conflict-of-law rules. Any dispute will be brought in the state or federal courts located in Ohio, and both parties consent to that jurisdiction.
  • If any part of these terms is unenforceable, the rest stays in effect. Not enforcing a term isn't a waiver.
  • You may not transfer these terms without our consent; we may transfer them as part of a merger, acquisition or sale of assets.
  • A signed agreement between Clarvoy and a Customer takes precedence over these terms where they conflict.
