Privacy Policy

Last updated October 21, 2026

This policy explains what information Clarvoy (“we,” “us”) collects, how we use and share it, and the choices you have. It covers getclarvoy.com and the Clarvoy service for both facilities teams (“Customers”) and the vendors who work with them (“Vendors”).

Information we collect

From Customers

  • Account details: name, work email, job title, phone, company, number of locations and industry.
  • What you put into Clarvoy: vendor emails you forward, notes, ratings, review windows, locations, RFPs and bids, contracts and rates, sign-offs, spend files, work orders and uploaded documents.
  • Billing: handled by Stripe. We receive your plan, billing status and a customer ID — not your full card number.

From Vendors

  • Company and contact details: name, email, phone, address, website, trades, service area, certifications and answers to questions.
  • Documents: such as W-9s, insurance certificates and licenses.
  • Qualification answers and references: including the names and work emails of references you provide. We email those references on your behalf.
  • Emails you send to a Customer that are forwarded to Clarvoy.

From references and insurance agents

When we ask a reference or an insurance agent to answer a question, we keep their name, email, answers and the time they answered.

From public and third-party sources

For vendor checks and risk notes we look up public and licensed data about vendor companies, such as federal exclusion and sanctions lists, business and domain records, Google business listings and reviews, OSHA and EPA enforcement records, court records, address and phone data, and public retirement-plan filings.

Automatically

  • Sign-in cookies: one cookie keeps you signed in. We don't use advertising or third-party tracking cookies.
  • Logs: IP address, browser type, pages used and actions taken, for security, troubleshooting and audit history.

How we use information

  • To provide Clarvoy: sorting vendor emails, sending automatic replies, showing vendors where they stand, running checks, building reports and sending reminders.
  • To secure accounts and prevent fraud and abuse.
  • To communicate with you about your account, billing, and changes to the service.
  • To improve Clarvoy, including with aggregated, de-identified data.
  • To show price benchmarks: prices from invoices, rate sheets and work orders are pooled across customers and shown only as medians and ranges, and only when at least three other companies contribute to that figure — so no customer's or vendor's prices can be identified.
  • To comply with law.

We do not sell personal information, and we don't use it for advertising.

Automated processing and AI

Clarvoy uses AI services (currently Anthropic's Claude) to read and sort vendor emails, read uploaded documents such as insurance certificates, and draft content for RFPs. The content is sent to the AI provider only to perform that task, under terms that don't allow it to be used to train their models. Automated results can be wrong, and Customers can review and change them.

How information is shared

  • Between Customers and Vendors: what a Vendor submits to a Customer is shared with that Customer. A Customer's notes, ratings, risk notes and contract values are never shown to Vendors. Vendors who turn on search or a public profile page choose to make that profile visible.
  • Service providers who process data for us under contract: hosting (Vercel), database and file storage (Supabase), email delivery (Postmark), payments (Stripe), AI processing (Anthropic), bot protection (Cloudflare Turnstile), maps and reviews (Google), and the data providers used for vendor checks.
  • Legal reasons: when required by law, or to protect the rights, safety and security of Clarvoy, our users or others.
  • Business transfers: if Clarvoy is involved in a merger, acquisition or sale of assets, information may transfer as part of it, under this policy's protections.

How long we keep it

We keep information while an account is active. When a Customer account is closed, we delete or de-identify its data within 90 days, except what we must keep for legal, tax or security reasons. Backups expire on their normal schedule. Vendors can ask us to delete their profile; information they already submitted to a Customer remains part of that Customer's records.

Security

Data is encrypted in transit. Documents are stored privately and opened only through links that expire within a minute. Access is limited by role, sign-ins and document views are logged, and sessions can be ended from any device.

Your choices and rights

  • You can see and update most of your information in Clarvoy.
  • You can ask for a copy of your personal information, or ask us to correct or delete it, by emailing danielle@getclarvoy.com. We'll respond within 30 days. Depending on where you live (for example California), you may have additional rights, and we won't treat you differently for using them.
  • If your information is in a Customer's account (for example, as a Vendor or a reference), we may refer your request to that Customer, since they control their records.
  • You can opt out of non-essential emails using the link in them. Account and security emails can't be turned off while you have an account.

Children

Clarvoy is a business service and isn't intended for anyone under 18. We don't knowingly collect information from children.

Where data is stored

Clarvoy is operated from the United States, and data is stored in the United States.

Changes

If we make material changes, we'll notify account admins by email or in Clarvoy before they take effect.
